Consideration should be given to the following as part of an event risk profile:
Appointment of stewards Fire marshalling and first aid arrangements etc. Children and the supervision of small children requires special consideration (e.g. Christmas Party) The planned number of guests relevant to the facilities of the venue The provision of alcohol; alternatives to alcohol; travel arrangements if the event is away from the office Security arrangements Car parking space for the expected number of guests and detail stewards to deal with any anticipated traffic congestion Inclement weather – car parking, outdoor events, contingency plans If some of the guests are not familiar with the premises, provide information on emergency evacuation procedures by public announcement Disabled persons in an emergency evacuation Ensure that any measures for fire prevention or control to deal with special fire risks are implemented e.g. barbecues and other mobile catering Contractors used in the setting up the event (furniture moving, stage building), running the event (caterers, security) and dismantling after the event have been vetted for their health and safety compliance Preferably choose professional caterers; otherwise approve volunteers and their catering arrangements to establish good hygiene standards If any machinery is provided for the entertainment of the guests, appoint a competent person to supervise its use, check
